Part of the wider G&A Global Operations Team, the Global Workplaces Team is a relatively new department within Elastic with responsibility for real estate, capital project management, workplace operations, environment, health & safety, corporate & event security and enterprise risk management.  With significant growth across the company and regions, we support 42 offices globally, with expansion plans over the next 3 years taking this to ~70 locations. In addition, with Elastic’s “Distributed First” workplace culture, we encourage and support Elasticians wherever they decide their workplace will be.

Our team has now established itself as a trusted partner to deliver workplace support and solutions that are aligned to Elastic’s operational needs.  Focus is now on building out our capabilities in the areas of environment & sustainability, health & safety, corporate & event security and enterprise risk management.  To drive the development of these functional areas we are looking for an energetic global leader to join our team, reporting to the director of global workplaces.  

Responsibilities

Building on the work done by the workplace operations team to date, you will develop a plan and set priorities for each of the functional areas of Environment & Sustainability, Health & Safety, Corporate & Event Security and Enterprise Risk Management.  This will involve engaging internally across a number of functions such as HR, IT, Finance and Events (Internal / Corporate, External Fields Ops / Marketing), Sourcing and of course the rest of the global workplace team and external partner / service provider teams.  With a need to develop and write policies that will require endorsement from senior executives, you will manage upwards a lot and be sensitive to Elastic’s way with words.

This position is suited to an experienced people and process leader, with a strong background in at least 2 or 3 of the 4 key functional areas, preferably on the international stage.  Your experience will allow you to quickly establish key needs for developing and setting up systems, processes and training that will need to be put in place to ensure Elastic, its own teams, customers and workplaces are kept safe and compliant. This will all require educating and informing internal stakeholders, bringing them along the journey, not pushing them to the edge and for this you will be a strong communicator with a positive can-do attitude and able to demonstrate proactivity, taking initiative where needed.  Experience of working to International norms and standards such as OSHA, ISO and other accredited bodies is essential.

Due to the wide geographical spread of our locations, while working closely with your workplace and other team members where possible, you will be expected to travel frequently, particularly to locations with significant projects, major events and senior stakeholders. 

Functional Areas

  • Health & Safety in the Workplace:
    • Develop a global health & safety policy with regional and local variants to comply with relevant regulations and laws.
    • Set up a global H&S management system to track and report on compliance.
    • Provide support, advice and guidance to the Global Operations & Project Leader on H&S as it relates to capital projects.
    • Provide support, advice and guidance to the workplace operations teams on H&S as it relates to day to day H&S management and compliance.
    • Establish ergonomics training for all employees to be delivered through our new e-learning system, ensuring records are kept and reported out as necessary.
    • Set up a driver safety program and system to establish a record of all Elasticans driving for company purposes, ensuring high risk drivers are identified and given additional training as necessary.
  • Environment & Sustainability:
    • Produce an Environment & Sustainability policy to be used for internal guidance, in our customer contracts and for our vendor partners.
    • Set up an E&S action plan with clear goals on how to improve sustainability.
    • Set up a plan for recording and reporting our carbon footprint.
    • Work with the workplace operations teams to drive a zero to landfill waste position.
  • Corporate & Event Security:
    • Set up a corporate security standard covering access control and employee security while working closing with our CISO to ensure alignment on data & information security.
    • Develop access control and CCTV systems standards in coordination with IT and set up policies and management protocols to ensure compliant use of these systems at global, regional and local levels.
    • Establish an Events Security & Risk Assessment process to cover internal employee and external customer events, including training and implementation out to all event coordinators.
    • Set up online training for active shooter / terror incident response at individual level.
    • Set up security incident management process, including a process for internal investigations in cooperation with HR and Legal teams.
    • Understanding of government agency type security measures as they relate to workplace operations.
  • Enterprise Risk Management:
    • Develop an enterprise risk management policy, process and playbook.
    • Support all departments to develop their risk management plan to include a disaster recovery plan and consolidate into an enterprise risk management plan.
    • Develop an incident management plan to include roles & responsibilities and communications plans.
    • Act as global incident controller, including emergency communications as needed.
    • Support local operations teams during incidents, provide technical advice as required.
  • General Activities:
    • Establish effective working relationships with colleagues and external contacts and provide flexible support as required. 
    • Develop reporting metrics for each functional area.
    • Set up an audit & action plan for each functional area to assess the effectiveness of the policies, programs and systems that have been implemented.
    • Support Field Operations / Sales teams in providing information and evidence of Elastic’s EHS systems, policies and procedures in response to RFPs / Bids.

Experience to date

  • Multi-location (regional / global) experience of at least 10 years across 2 of 4 functional areas.
  • Implementation of IT systems / tools to support EHS, Security.
  • Recent experience of working to ISO 9001 / 14001 / 27001 / 45001 standards.
  • Specialist / expert knowledge of at least 2 of 4 functional areas, including formal degree level qualification in at least 1 functional area.
